Iverifai is an insurance verification service for dental practices, operated by Iverifai, a Smile Secure company (“Iverifai”, “we”, “us”, “our”). This policy explains what we do with personal information collected through iverifai.ai and through the verification service we provide to dental practices.
This policy covers the personal information we handle as a business: information about people who visit our website, and about the staff at the dental practices we work with.
It does not govern protected health information. When we verify insurance for a dental practice, we act as that practice’s Business Associate under HIPAA. The practice is the covered entity and remains responsible for the patient information we handle on its behalf. What we do with that information is governed by HIPAA and by the Business Associate Agreement we sign with every practice, not by this policy.
If you are a patient and want to know how your information is used, please contact your dental practice. They can tell you, and they can pass any request on to us.
Information you give us. Your name, role, practice name, email address, phone number, the practice management system you use, your preferred contact time, and anything you write in a message, when you complete a form, book a call, email us or telephone us.
Information from your practice, if you become a customer. The names and contact details of the staff who use the service, and the access we need to connect to your practice management system.
Information collected automatically. IP address, browser and device type, pages viewed, the page you arrived from, and the dates and times of your visits. Our Cookie Policy explains how.
Information from third parties. Scheduling and eligibility data returned by payers, clearinghouses and payer portals in the course of a verification.
To provide and operate the verification service. To set up, support and administer your account. To respond to inquiries and arrange calls. To send you service messages about your account, and marketing emails you can unsubscribe from at any time. To invoice and take payment. To monitor, secure and improve the service. To meet our legal and regulatory obligations.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
Service providers working for us under contract: hosting, email, analytics, scheduling, payment processing and customer support. They may use the information only to do that work.
Payers, clearinghouses and payer portals, where completing a verification requires it.
Professional advisers, and public authorities where the law requires it or where it is necessary to protect our rights or someone’s safety.
A buyer or successor, if the business is sold or reorganized. We will say so on this page, and your information will become subject to the acquirer’s policy.
Inquiry and marketing records: one year from your last contact with us. Customer account records: for the life of the account and six years afterwards. Records containing protected health information are retained for the period set out in the relevant Business Associate Agreement.
[Encryption in transit and at rest, hosting arrangements and access-control detail to be completed.] Inside Iverifai, patient information can be seen only by the verification specialist assigned to your practice, their team lead, and our Director of Operations. Every verification carries a record of who handled it.
No system is perfectly secure and we cannot promise absolute security. If a breach affects your information, we will notify you as the law requires.
Depending on where you live, you may have the right to ask for a copy of the personal information we hold about you, to have it corrected or deleted, to limit how we use it, and to opt out of marketing. We will not treat you differently for exercising any of these rights.
To make a request, email contact@iverifai.ai. We may need to verify your identity first, and we will respond within the time the law allows.
Patients: we cannot act on requests about your dental records directly. Please contact your dental practice.
Every marketing email carries an unsubscribe link. If you have given us your mobile number and agreed to text messages, reply STOP to opt out. You will continue to receive messages about your account.
Our services are for dental practices, not for individuals under 18, and we do not knowingly collect personal information from children through this website. If you believe a child has given us information, email contact@iverifai.ai and we will delete it.
Our site links to services we do not operate, including Calendly, Instagram and Facebook. What those services collect is governed by their own policies, not this one.

We will post any changes on this page and update the effective date above. If a change is significant, we will tell you directly.
