The Situation

Oasis Dental takes walk-ins and same-day emergencies, and it works a payer mix that includes PPO, Medicaid and Medicare Advantage. That combination produces the hardest version of the verification problem: high volume, low predictability, and plans that behave differently from one another. Verification was handled by two people at the front desk between patients, which meant it happened in whatever gaps the day allowed. On a busy day the gaps closed. Roughly 4 in 10 patients were being verified the morning of their appointment or while they were already sitting in the waiting room, and the team was starting each day with a list of unknowns rather than a schedule.

What Changed

Iverifai pulls the schedule from the PMS and works a three-day lead. Every scheduled patient is verified using the office’s existing breakdown form, and the completed benefit information is written back into the patient’s chart before the day begins. Nothing about how the office runs was changed to accommodate this. The same form, the same PMS, the same documentation conventions, the same scheduling priorities. Walk-ins and same-day emergencies still need verifying in real time — that is the nature of the practice — but they are now the exception rather than a portion of every morning, and they are handled as urgent requests rather than absorbed by the front desk.
